Already track your collection in a spreadsheet? Import it instead of retyping. Vaultry reads your CSV, lets you match its columns to the right fields, and creates the items for you.
Before you start
- Export your spreadsheet as a
.csvfile (Excel, Numbers, and Google Sheets all offer Export → CSV). - Keep the header row — the first row's column names are what you'll map against.
- Files up to 10 MB are supported. If yours is larger, split it into a couple of files and import them in turn.
- Pick (or create) the collection you want the rows to land in first — you import into one collection at a time.
Import steps
- Open the collection and choose Import → CSV.
- Upload your file. Vaultry shows a preview: your column headers and the first few rows, so you can confirm it read the file correctly.
- Map columns. For each Vaultry field, pick the CSV column it comes from — Name from
Title, Value fromPaid, and so on. Unmapped columns are simply skipped. The available fields match the collection's type. - Import. Vaultry processes the rows and adds the items. You'll see how many succeeded.
Tips for a clean import
- Match value columns to a number format (strip currency symbols if the importer flags them).
- Dates import most reliably in
YYYY-MM-DDform. - Do a small test first — import five rows, confirm the mapping looks right, then run the whole file.
- Watch your item limit: a large import can push you over your plan's cap. See Plans & what happens when you cancel.
Import is not the same as restore
Importing a CSV adds items to a collection. Restoring a backup replaces your data from a Vaultry backup ZIP and only accepts a backup made by your own account. If you're moving a spreadsheet in, you want import. If you're recovering from a Vaultry backup, see Back up & restore your data.
