Insurance Documentation, Done Right
Generate a paginated, timestamped PDF inventory report of every item in your collection - photos, serial numbers, grades, declared values - ready to hand to your insurer, appraiser, or attorney.
No charge until your trial ends. Export your full inventory anytime.
What happens when you don't have documentation
A spreadsheet is not proof.
When a claim adjuster asks "what was in the safe?", an Excel file with 47 rows and no photos lands somewhere between "useful" and "throw it out." You need timestamped photos, declared values, and identifying numbers, in a single document.
Lists in your head don't survive a fire.
Most collectors can name half their collection from memory. After a loss event, "about 30 coins" is not a payout. The carrier pays for what you can prove. The rest is gone.
Receipts are scattered and incomplete.
Even if you saved every receipt, they cover purchase price - not current value, not condition, not grade. For appreciating collections, the gap between cost basis and market value matters a lot at claim time.
What Vaultry gives you
Built for the moment the carrier asks "can you prove it?"
One-click insurance PDF
Tap a button. Get a paginated PDF inventory report with every item, every photo, every serial number, every declared value, and a timestamped cover page. Hand it to your insurer or attorney.
Photos that survive an audit
Multiple photos per item, stored at full resolution. Document engravings, serial numbers, slab labels, hallmarks, and condition. The carrier sees what was there.
Declared values you control
Log purchase price and current value separately. Update appraised values on a schedule (annually, after a market move, after a grading bump). The report uses your most recent value.
Locked identifying fields
Serial numbers, VINs, certification numbers, and other identifying fields lock after creation. Edits require an admin override with a justification, recorded in the activity log. Carriers and adjusters see a clean chain of custody.
Audit & verification trail
Run periodic audits and generate timestamped verification reports. Useful for annual policy renewal, scheduled rider updates, and proving the items existed before any reported loss.
Especially useful for
Collection types where carriers ask the most identifying questions.
Firearms
Serial numbers, NFA registry numbers, and tax-stamp dates - exactly what carriers ask for on a scheduled-firearms rider.
Numismatics
PCGS / NGC cert numbers and grades that the carrier can verify on the issuer's public lookup.
Jewelry
GIA certification numbers, gemstone specs, designer attribution - the data appraisers and carriers want.
Watches
Reference numbers, movement, complications, box & papers status - the resale chain of evidence.
Vehicles
VIN-verified ownership records, mileage at last entry, and title status - aligned with how insurers price classic-car policies.
Common questions
Does my insurer accept Vaultry reports?
The report is a paginated PDF with timestamps, photos, and declared values - the same shape carriers accept from professional appraisers. We're not a licensed appraisal firm, but the report format is what most insurers want when underwriting a scheduled rider or processing a claim.
Can I update declared values over time?
Yes. Purchase price stays locked once entered; current value is editable and tracked in the activity log. Run a quick refresh annually or whenever the market moves, and the next report uses your latest values.
What if I need to add new items mid-policy?
Add items as you acquire them. The report is regenerated on demand, always reflecting your current inventory. Some carriers want a fresh report at every renewal; others accept updates only when total declared value changes by a defined threshold.
Is my data safe?
Yes. Your data is tenant-isolated, encrypted in transit and at rest, never processed by AI, and exportable at any time via the full backup ZIP. See our security page for full details.
